eRecords has a built-in document viewer with a variety of functions. These functions are available to users
only when the document security policy grants permissions:
- Print
- Download
- Edit Index Fields
- Annotate
- Remote Scan

- Send Document via eMail

Additionally, users can choose to open their documents via Native Applications. For example: If a user uploads a Microsoft Word
document to eRecords, he/she can choose to open that document via the Word application. If a change is made, and the document is saved, it is automatically sent
to eRecords and the system will (1) note who made the change and (2) assign a new version number to the document. If needed, users with appropriate permissions can "roll back"
the document to a previous version.

eRecords’s Records Retention features allow records managers to design
policies which schedule automated document retention or destruction.
- Retention policies set a lock date/time specifying a time before which documents cannot be deleted.
- Destruction policies set a destruction date/time specifying a time after which documents will be deleted (if not still locked).
- Destruction policies can also require document reviews prior to scheduling destruction.
- Document reviews can trigger an email which can optionally include a link to take the recipient directly to the list of documents to be reviewed.

With our advanced web application, you can post more than imaged documents to the
website. You can upload PDF documents, Word documents, and Excel spreadsheets -
just to name a few.

This is very useful if you have electronic files
associated with your scanned documents. For example, if you have a spreadsheet
associated with a group of scanned invoices, you can upload it directly to the web site
and store it within the project created for the other scanned invoices. Most email
applications (like Outlook) let you save email messages as individual files. These files, too,
can be uploaed and stored in their relevant project folders.
