Once digitized, your archive will be available to you and your colleagues 24/7 via a secured
password protected Internet web site. You will no longer have to request and wait for
deliveries – and no deliveries means no delivery fees!
And, because it's on the Internet, your colleagues around the globe will have the same instant
access you would!
Finally, you'll be able to recover quickly after a disaster — CRM's eRecords allows you to retrieve critical data from any internet connection.

Unlike paper archives, digital archives can be backed up. CRM utilizes
state-of-the-art computer storage systems to house multiple copies of your digital documents and also backs them up to
tape each night for offsite storage. In the event of a disaster, corruption, or erroneous
purge of archived materials, CRM can restore your images.

Our Imaging Web Site has built-in functionality allowing you to email and print your digital
documents with the simple click of a mouse – direct from the web browser. You also have the
ability to save your web-based images as local files on your PC’s hard drive for off-line
viewing (like via a laptop on an airplane).

Finally, with the appropriate levels of access
(which you designate per user account), you can purge digital documents on their destruction
date saving you the hassle and expense of certified paper destruction services.

When your archive is imaged, CRM will organize it via “indexes”. An index is
customer-defined and is typically specific to the materials being images: date ranges, invoice
numbers, patient ID, etc.
Once online, you will be able to access your
information via keyword searches. For example, if CRM indexed your Accounts Receivables based
on three indexes – customer name, date, and invoice number – you could view a given document
by simply typing in the invoice number. If the number is unknown, but you know the customer
name, you could view all the invoices associated with a particular customer. Finally, you
could view all invoices within a particular date range.

With our advanced web application, you can post more than imaged documents to the
website. You can upload PDF documents, Word documents, and Excel spreadsheets -
just to name a few.

This is very useful if you have electronic files
associated with your scanned documents. For example, if you have a spreadsheet
associated with a group of scanned invoices, you can upload it directly to the web site
and store it within the project created for the other scanned invoices. Most email
applications (like Outlook) let you save email messages as individual files. These files, too,
can be uploaed at will and stored in their relevant scanning project folders.
